Privacy Policy
This Privacy Policy explains how the Catholic Bishops’ Conference of India (CBCI)
Office for Education & Culture (“we”, “us”, or “our”) collects, uses, and protects
information when you use the CBCI EduBase mobile application
(package name: org.cbci.edubase) and related services at
mobile.cbciedubase.org and
cbciedu.cbciedubase.org.
1. Who this app is for
CBCI EduBase is a governance and data-collection platform for Catholic educational institutions in India. Access is provisioned by authorised National, Regional, Diocesan, or Institution administrators. There is no public self-registration.
2. Information we collect
Depending on your role and the features you use, we may process:
- Account credentials: email / user id and password used to sign in.
- Profile information: name, role, scope (region, diocese, institution), and optional profile photo.
- Institution directory data: institution name, address, contact email, phone, WhatsApp number, management and affiliation details.
- Annual return data: student, staff, and management census figures submitted for academic years.
- Communication data: reminder and outreach messages sent by authorised users through Email and/or WhatsApp channels configured by the organisation.
- Technical data: basic app/API request information needed to operate secure access (for example authentication session scope).
The app may request access to your device photo library only so you can set a profile picture. Photos are not used for advertising or sold to third parties.
3. How we use information
- Authenticate users and enforce role-based access.
- Collect, review, and report annual educational institution data.
- Maintain master data (regions, dioceses, congregations, and related lookups).
- Send operational reminders and notifications related to annual data updates.
- Improve reliability, security, and support of the CBCI EduBase service.
4. Legal basis / purpose
Information is processed to operate an official Church education data platform for institutions that have been given access, to fulfil organisational reporting needs, and to communicate service-related updates to authorised users.
5. Data storage and sharing
- Data is stored on CBCI EduBase servers operated for the organisation.
- Data is visible only to users according to their assigned role and scope.
- We do not sell personal information.
- Operational delivery of Email or WhatsApp reminders may use service providers configured by CBCI EduBase (for example SMTP / WhatsApp messaging providers). Those providers process only what is needed to deliver the message.
6. Data retention
Account, institution, and annual return records are retained for as long as needed for educational governance, audit, and historical reporting, or until an authorised administrator removes or deactivates the relevant records according to organisational policy.
7. Security
We use access controls, authenticated API access, and transport security (HTTPS) for the production mobile API. Passwords are stored as irreversible hashes on the server. No method of transmission or storage is fully secure; authorised users should keep credentials confidential and change passwords when instructed.
8. Children’s privacy
The app is intended for adult institutional administrators and Church education officers. It is not directed at children. Census figures relate to institution headcounts and are not used to create child marketing profiles.
9. Your choices
- You may update your profile photo and account password where the app provides those features.
- You may request correction of institution or census data through your Diocesan / National administrators.
- Photo library permission can be denied; the rest of the app remains usable without a profile photo.
10. Third-party links and stores
Distribution through Google Play is subject to Google’s terms. This Privacy Policy covers the CBCI EduBase app and its backend services, not Google’s own services.
11. Changes to this policy
We may update this Privacy Policy from time to time. The “Last updated” date at the top will change when we do. Continued use of the app after an update means you acknowledge the revised policy.
